Outbound call campaigns: work through your lists without dialing a number

Upload a list of contacts and the phone system calls them for you: it sends them to a module, to an agent already on a headset, or lets agents call one lead at a time from their panel.

What it is for

An outbound call campaign works through the contact lists you give it: it picks the next lead, calls it from the line you chose and decides what happens on answer. You can limit it to the hours you want and pause it with one click.

There are three modes. Automatic places a fixed number of calls at once and sends whoever answers to a destination, such as an IVR answerer, a queue or an AI answerer. With operator (predictive) paces calls to the free agents and puts whoever answers straight through to one of them, already on their headset. Manual lets the agent press “Call next” and call one lead at a time.

Every lead has its own status (to call, calling, answered, busy, no answer, voicemail, out of tries), its tries and its data: name, address, city, VAT number and six notes. Agents see them during the call and can pass them to your CRM in the link.

When the leads run out the campaign can pause itself and start again as soon as you add more. If your credit runs out it stops and tells you why.

Use cases

Outbound call center with agents on headsets

Ten sales agents waste time dialing and listening to unanswered rings. In predictive mode they join the campaign room: the system dials according to who is free and only puts through contacts who answered, with no ringing.

Recorded reminders and notices

You need to remind hundreds of customers about a deadline. Automatic mode places several calls at once and whoever answers hears a message in an IVR answerer, which can also offer a key to talk to someone.

Lead qualification with an AI answerer

You collect leads from a web form and want to call them right away. Import the list and send whoever answers to an AI answerer that asks the first questions; interested leads move on to the sales queue.

Careful callbacks, one contact at a time

For sensitive appointments the agent should decide when to call. In manual mode they press “Call next”, read the lead's data and give the outcome; if they use their own softphone, the panel hands the call to it.

Outcomes straight into your CRM

Your sales team already works in the company CRM. Set the CRM address: on every call it opens with the lead's number, name and notes, and the outcome is recorded there.

How it works

  1. Create the campaign

In Marketing › Campaigns choose “Phone campaign”, name it, pick the mode, the line to call from and, if you like, a time condition for the hours.

  2. Set up a list and import the leads

Create a list linked to the campaign and import contacts from a CSV or Excel file, or paste them. Match each column to a lead field; numbers are checked and saved in international format.

  3. Set pace, tries and agents

Choose how many calls to place at once, how long to ring, how many times to retry and how long to wait. In predictive and manual mode choose the campaign's agents and where they record the outcome.

  4. Start and follow your leads

Press “Start”: the system calls in the order you chose. The Leads tab shows each one's status and lets you call them again, move them or fix their data; the reports show answers and conversions.

What you can set

General

Name
The name you find the campaign by in the list, the reports and the operator panel.
Mode
Automatic (N simultaneous calls to a destination), With operator (predictive, calls paced to free agents) or Manual (the agent calls one lead at a time).
Line to call from
The number calls go out from: it is the number your contacts see.
Hours
A time condition: the campaign only calls on those days and at those times; with none it always calls.
Lead order
Oldest first, newest first or random.
Pause when leads run out
When nobody is left to call the campaign pauses, and starts again by itself when you add leads.

Calls

Simultaneous calls
The most calls in progress at the same time, from 1 to 200; in predictive mode it is the ceiling never exceeded.
Calls per free operator
Predictive only: 1 places one call per free agent; a higher value makes up for unanswered calls but means more answers with no agent.
Ring time
How many seconds each number rings, from 5 to 120.
Tries
How many times at most the same number is called when busy, unanswered or failing, up to 20.
Time between tries
How many minutes before a busy or unanswered number is tried again.
Skip voicemail and answering machines
Automatic and predictive: when a voicemail answers the call is ended and the lead marked as “Voicemail”.
Where answered calls go
Automatic only: where the call goes when the contact answers, for example an IVR answerer, a queue, an AI answerer, an operator, a callback, an audio or a WhatsApp redirect.
Operator's phone
Manual only: the panel's phone (the system rings the agent first, then the contact, and records duration and result) or an external softphone that receives the number as a sip link.

Operators and outcome

Campaign operators
Who receives the calls (predictive) or calls the leads (manual) from the operator panel.
Answered with no free operator
Predictive only: a short wait with music then a message read by a synthetic voice (voice and speed of your choice), or straight to a destination such as a queue or a callback.
Maximum wait
How many seconds the contact waits for an agent to free up before hearing the message.
Call outcome
Operator panel, where the agent picks one of your call outcomes, or external CRM.
CRM address
Your CRM's link: we add campaign, list, lead, number, the lead's fields, agent, call id and date and time.
When to open the CRM
As the call starts (when the agent places it or the customer is put through) or once the call is over, to give the outcome.

Lists and import

List
A named group of leads linked to a campaign; one campaign can work several lists.
Active
A list switched off stays still: its leads are not called until you switch it back on.
Skip duplicates
On import, numbers already in the list and numbers repeated in the file are skipped.
Import leads
From a CSV file (comma or semicolon) or Excel .xlsx, or by pasting rows copied from Excel or separated by comma, semicolon or a vertical bar.
Column matching
For each column choose the field: phone, first name, last name, address, postal code, city, province, country, VAT number, notes 1 to 6, or “do not import”; a preview shows the result.
Call again
Puts the list's leads in the statuses you choose back to “to call”, with tries reset.
Export CSV and Empty
Download the list's leads as a CSV file, or delete them all while keeping the list.

Leads and actions

Search and filters
Find leads by number, name or notes and filter them by list and status.
Edit lead
Change every field except the number, set the outcome and mark it “Converted”, which counts among the reports' conversions.
Call again from scratch
The lead goes back to be called with tries reset and no outcome.
Actions on several leads
Call again, move to another list or delete the selected leads; those being called right now stay where they are.
Actions on several campaigns
Start, pause, set calling hours or delete the selected campaigns together; their lists are kept.

Frequently asked questions

What is the difference between automatic, predictive and manual campaigns?

Automatic places a fixed number of calls and sends whoever answers to a module (IVR, queue, AI answerer). Predictive dials according to the free agents and puts whoever answers through to an agent already on a headset. Manual lets the agent call one lead at a time with “Call next”.

Which files can I import call campaign contacts from?

From CSV separated by comma or semicolon, from Excel .xlsx, or by pasting the data. You choose which column goes in each field; invalid numbers and duplicates are skipped and counted at the end of the import.

How many times is an unanswered number called again?

You decide: set the tries (up to 20) and the minutes between them. When tries run out the lead moves to “Out of tries” and you can put it back to call whenever you like.

Does it detect answering machines?

Yes. In automatic and predictive mode turn on “Skip voicemail and answering machines”: the call ends and the lead is marked as voicemail, so agents only talk to people.

Can I connect campaigns to my CRM?

Yes. Choose “External CRM” as the outcome and enter its address: the operator panel opens your CRM with the lead, campaign and call data in the link, at the start or at the end of the call.

What happens if credit runs out during a campaign?

The campaign stops and the list shows “Out of credit”. Leads stay where they are and you restart it once you have topped up.
